Very frequently, when we develop software for our customers, we notice that some of the work carried out in the business is repetitive and prone to errors.
Whenever we recognize such processes, we actively inform our customers about the possible introduction of software automation.

Let's consider an example:

Imagine a medical practice that uses a software to manage their work.
That software nicely provides one calendar per employee, such that each employee can control their planning individually.

One day, the owner of the practice then informs us at Codics that they are struggling with the boundaries of their practice software. Because sometimes, a Dr. is needed for the first 15 minutes of an appointment, followed by 25 minutes with a nurse. For other appointments, both a nurse and a doctor must be present during the first 10 minutes, then only a nurse for 25 - 35 more minutes. After that, a doctor should come and check the patient again for 5 minutes. And that doctor must be the same one as the one who initialized the appointment.
And so on.
The practice owner informs that their software does not provide a feasible solution for this. Every single slot must be saved and coordinated manually within the software, within the correct calendar. Imagine how tedious and error prone this can get. Especially when an appointment gets updated regarding its time or even cancelled.

So we stepped in and checked how we can control the calendars of the practice system from our systems at Codics. We then developed an according program to automate the booking processes according to the regular feedbacks of the practice owner.

The result of this was the birth of a brand new booking platform. It automatically takes care of the creation of all booking slots at the right time in the right calendars, through a single booking that is carried out by the patients themselves. An algorithm quickly identifies all possible booking slots for a selected appointment according to the needed resources (doctors, nurses, ...) and their required durations in the indicated sequences. All of this is done in seconds; patients load the booking page and almost instantly face all possible bookings directly within a calendar presented on a website.

No more calls to the practice to make an appointment to check for available slots. If they booked, the practice immediately gets informed, all calendar slots get booked. The patient moreover gets his own links to move and / or cancel their own appointments, if needed; again thus without requiring any calls. When a patient wants to update his appointment, the propositions he gets for the appointment are again synchronized with all affected calendars of the practice system. And so on.

This example shows how manual work can be automated through machines, allowing the staff of your business to focus on other tasks that can actually not be carried out by machines.
Moreover, a machine will consistently propose available slots within fractions of a second. A human could never have identified booking possibilities at that speed. Thus further reducing the human repetitive and error-prone workload in the practice.

Note that this example precisely summarizes part of the work we did for one of our customers. For details, see our projects page. To then also provide our customer with the possibility to adapt the appointment scheduling sequences (doctor for 10 minutes, then nurse for 25 minutes, ...), we simply added an according configuration panel into his administrative system.
